Who we are

Kisaf Cargo Limited (company number [company number], [registered address]) is the controller of your personal information in the UK. [Kisaf to confirm the data controller registered in Kenya under the Data Protection Act 2019.] Contact us about your data at [email].

What we collect

  • When you ask for a quote or a collection: your name, phone number, email if you give it, where you're sending from and to, what you're sending, and a collection address.
  • When you ship with us: the same, plus the people you allow to collect, photos and weights of your boxes, payments and receipts, and each scan of your cargo.
  • When you collect in Kenya: who collected, the type of ID shown and its last four characters, and a signature.
  • When you use this website: only what our servers need to deliver the pages and stop abuse (such as your IP address). We use no advertising or tracking cookies.

Why we use it, and our lawful basis

  • To reply to your enquiry and give you a price - because you asked us to (steps before a contract).
  • To collect, ship, clear and release your cargo, and take payment - to perform our contract with you.
  • To send you updates by SMS, WhatsApp or email about your shipment - to perform our contract; you can choose WhatsApp or not.
  • To keep records for customs, tax and accounting - a legal obligation.
  • To prevent fraud and keep our systems secure - our legitimate interests.

How we protect it

Phone numbers, email addresses and addresses are encrypted in our database. Staff see only what their job needs - for example, the people who load containers never see your name or phone number, and labels show only a tracking number and destination. Every change to your details is recorded.

Who we share it with

Only those who help us deliver your shipment or run our service: shipping lines and airlines (cargo details, not your contact details), customs authorities in Kenya, our SMS, WhatsApp and email providers, and our hosting and storage providers. We never sell your information.

International transfers

Your information moves between the UK and Kenya because that is the service. We protect it with the safeguards the law requires. [Kisaf to confirm the transfer mechanism with its adviser.]

How long we keep it

Enquiries that don't become shipments: [period]. Shipment and payment records: [period, as tax and customs rules require]. [Kisaf to confirm retention periods.]

Your rights

You can ask to see, correct or delete your information, object to or restrict how we use it, and ask for a copy to take elsewhere. Contact [email]. You can also complain to the Information Commissioner's Office (UK) or the Office of the Data Protection Commissioner (Kenya).
